How to Identify and Connect with Key Influencers at In-Person Events

Picture this: you’re at a networking event, and you spot someone you admire from your industry. They’re the keynote speaker, a panelist, or even someone whose name you’ve seen in all the right places. How do you walk up, introduce yourself, and start a meaningful conversation?

Here’s your playbook for identifying and connecting with key influencers at in-person events:

Step 1: Do Your Homework Beforehand

Preparation is everything. If you’re attending a conference, seminar, or networking event, find out who’s on the guest list, panel, or agenda. Research their background—what do they specialize in? What’s their latest project or opinion piece? This prep work gives you conversation starters and helps you approach with confidence.

Step 2: Plan Your Approach

Don’t wait for “the right moment.” Influencers often have busy schedules at events, so think about how and when to introduce yourself. For example:

Before the event starts, while people are mingling. Arriving early is a key to networking success. Plus you will likely stand out since you are meeting them BEFORE they present or engage with others.

After they finish speaking, when they’re open to quick feedback.

During a networking break, when groups are naturally forming.

Step 3: Craft a Genuine Introduction

When it’s time to approach, keep it simple and authentic. Smile, introduce yourself, and mention why you admire their work. For example:

“Hi [Name], I’m [Your Name], and I really enjoyed your talk about [specific topic]. I’ve been following your work on [specific detail], and it’s made a big impact on how I think about [topic].”

Step 4: Focus on Them, Not You

Resist the urge to pitch yourself right away. Instead, ask thoughtful questions about their work or insights. People love to share their expertise when they know you’re genuinely interested. Some great starters:

“What inspired your recent project on [topic]?”

“How do you see [trend] affecting our industry in the next year?”

Step 5: Create a Reason to Follow Up

Wrap up the conversation by expressing gratitude and leaving the door open for future contact. For example:

“Thank you for taking the time to chat—it’s been great to meet you. Would it be alright if I connected with you on LinkedIn to follow your work?”

Or:

“I’d love to follow up on this topic—are you open to a quick coffee chat sometime?”

Step 6: Be Polite About Their Time

Remember, key influencers often have a lot of people vying for their attention. Keep your initial conversation concise, and don’t monopolize their time. A quick, meaningful connection will leave a stronger impression than a long-winded one.

Once the event is over, don’t let the connection fade. Send a brief email or LinkedIn message thanking them for the conversation. Mention something specific you discussed, and if appropriate, suggest a follow-up.
